1. Purpose
To establish clear principles and responsibilities governing the enrolment and admission of students to On the Job Training (OTJT) programs.
This policy ensures all applicants are treated fairly, enrolment decisions are transparent, and eligibility aligns with course requirements, funding conditions, and legislative obligations.
2. Scope
Applies to:
- All prospective students and employer representatives seeking to enrol in OTJT courses; and
- All OTJT staff involved in marketing, onboarding, or administering enrolments.
3. Policy Statement
OTJT is committed to equitable access to quality training for all eligible learners. Enrolment decisions are made based on course prerequisites, learner suitability, and the student’s ability to meet safety and licensing requirements.
All enrolment information will be accurate, complete, and provided prior to enrolment to support informed decision-making.
4. Eligibility Criteria
4.1 Age Requirement
- OTJT accepts enrolments only from students aged 18 years or older.
- This requirement reflects legislative restrictions for high-risk work licensing and the additional child-safety obligations that apply to minors.
- Students under 18 are not eligible for enrolment. Any exception would require written approval from a Director.
4.2 Prerequisites & Suitability
- Entry prerequisites are specified in each course outline (e.g., a Dogging licence before Rigging).
- Suitability is confirmed through LLND checks and, where relevant, prior experience or qualifications.
4.3 Residency & Identification
- Students must provide valid photo ID and a Unique Student Identifier (USI).
- International or visa-holding applicants must hold work rights permitting participation in vocational training.
4.4 Funding Eligibility
- Where funding is sought (e.g., CSQ, BERT), students must meet the eligibility criteria set by the funding body.
5. Application & Admission Process
- Student submits an Application for Enrolment Form and supporting evidence.
- Administration verifies LLND results, prerequisites, and funding eligibility.
- If requirements are met, an offer of enrolment is issued along with course fees and refund information.
- Enrolment is confirmed upon receipt of payment or employer purchase order.

6. Pre-Enrolment Information
Prior to enrolment, students are provided by means of direct communication, student handbook or the On the Training website with:
- Course outline, delivery mode, and duration;
- Entry requirements and prerequisites;
- Fees, refunds, and cancellation policy;
- Assessment methods and licensing outcomes;
- Support services and reasonable-adjustment options;
- Complaints and appeals processes.
7. Student Rights & Responsibilities
Students have the right to:
- Be treated fairly and respectfully;
- Receive accurate and timely information about their training;
- Access support services appropriate to their needs;
- Lodge complaints or appeals without disadvantage.
Students are responsible for:
- Providing accurate information and documentation;
- Notifying OTJT of any change in personal details;
- Meeting course and attendance requirements;
- Paying fees as per agreed terms.
8. Non-Acceptance of Enrolment
An application may be refused if:
- The student is under 18;
- Prerequisites or funding requirements are not met;
- The course is full or withdrawn; or
- The applicant’s conduct or circumstances present a risk to safety or compliance.
Applicants will be informed in writing of any decision not to proceed and may request clarification or lodge an appeal via the Complaints & Appeals Policy.
9. Privacy & Record Keeping
All enrolment information is collected, stored, and disclosed in accordance with OTJT’s Privacy Policy and the Privacy Act 1988 (Cth).
10. Continuous Improvement
Feedback from students and staff on enrolment processes is reviewed quarterly. The policy will be evaluated annually or when legislation or Standards change.
