Master Terms & Conditions, Cancellation & Refund Policy

Applies to: All students of OTJT, including those accessing CSQ funding


Training Provider

Training and assessment, learning delivery and issuing of Statements of Attainment are facilitated by IM Training Pty Ltd T/as On The Job Training (RTO 70023).


1. General Terms & Conditions

1.1 Enrolment

  • Enrolment is confirmed once OTJT has received a completed enrolment form, all required identification, completion of the LLND skills check, and payment of the required deposit or fees.
  • Students must meet all course prerequisites and eligibility criteria (including CSQ funding eligibility where applicable).
  • Enrolments will not be processed without signed acknowledgement of these Terms & Conditions.

1.2 Student Conduct

  • Returning late from a break in course delivery, or not returning at all, is considered disruptive and discourteous. Trainers will advise of return times from breaks, and at their reasonable discretion, may exclude a student who arrives back late. No refund applies in these cases. Similarly, if a student does not return from a break, no refund applies.
  • Students are expected to behave respectfully towards trainers, staff, and other learners at all times.
  • OTJT reserves the right to suspend or withdraw a student from training where behaviour is disruptive, unsafe, or in breach of safety regulations.

1.3 Training & Assessment

  • All training and assessment will be conducted in line with the Standards for RTOs 2015 and the Standards for RTOs 2025 (enforced since 1 July 2025).
  • Students must participate in all required theory and practical components to be deemed competent.
  • Students must complete their own work honestly and without plagiarism. Submitting false or misleading evidence will result in disciplinary action.
  • Students are responsible for ensuring they attend scheduled sessions on time and with appropriate PPE and identification as advised at enrolment.

1.4 LLND & Enrolment Requirements

  • All students must complete OTJT’s Language, Literacy, Numeracy & Digital (LLND) skills check prior to enrolment being finalised.
  • Enrolments will not be processed until this is completed and the student acknowledges these Terms & Conditions.
  • Where additional learning support needs are identified, OTJT will discuss available options and reasonable adjustments.
  • Providing false, misleading, or incomplete information may result in cancellation of enrolment or loss of funding eligibility.

1.5 Student Responsibilities

  • Students agree to:
    • Follow all WHS directions and behave safely in training environments.
    • Engage with support services if required to meet course requirements.
    • Provide accurate personal information and advise OTJT of any changes.
    • Respect the rights of fellow learners, staff, and industry partners.
    • Supply current and correct eligibility documentation when accessing CSQ funding.

1.6 Data & Privacy

  • Students acknowledge OTJT must collect and share training data with funding bodies, regulators, and government agencies (e.g. AVETMISS, CSQ, DESBT, NCVER).
  • Data is handled in accordance with OTJT’s Privacy Policy.
  • Written consent for this collection is required at enrolment.
  • Personal information will not be shared with third parties except as required by law or for the delivery of training and funding compliance.

1.7 Complaints & Appeals

  • Students have the right to lodge complaints or appeals in line with OTJT’s Complaints & Appeals Policy.
  • All complaints will be handled fairly, transparently, and without prejudice.
  • Students are entitled to appeal assessment outcomes where they believe they have not been assessed in line with the rules of evidence and principles of assessment.


2. Payments & Deposits (General)

2.1 Fee-for-Service (Non-Funded Students)

  • A $100 booking deposit is required at the time of enrolment.
  • This deposit is credited towards the course fee.
  • The balance of fees must be paid in accordance with OTJT’s invoice terms.
  • The maximum payable upfront by individuals is $1500, with any balance due on the first day of the course in line with ASQA requirements.

2.2 Refund of Deposit

  • The $100 booking deposit is non-refundable if the student cancels, withdraws, or fails to attend after enrolment.
  • If OTJT cancels or reschedules a course, the deposit will be refunded in full.

2.3 Additional Conditions

  • Students will not be permitted to commence training until required payments have been made.
  • Where employer payments are arranged, students remain personally liable for fees if the employer does not pay.
  • Credit card payments incur a 1.5% surcharge.
  • Quotes issued by OTJT are confidential and must not be shared beyond the intended recipient. Breach of this condition may result in legal action.


3. Cancellation & Refund Policy (General)

3.1 Notice Periods

  • 5 days’ notice: refund of all fees paid, less the $100 booking deposit.
  • Less than 5 days’ notice: full fees are payable and no refund will be issued.
  • After course commencement: no refunds will be issued.

3.2 Course Cancellation by OTJT

  • If OTJT cancels or reschedules a course, students may transfer to another date at no cost or receive a full refund of all fees paid (including deposit).

3.3 Non-Attendance & Withdrawal Liability

  • Enrolment in a course reserves a training place and associated resources. If a student does not attend or fails to complete the course, that place cannot be offered to another participant.
  • All students (funded or non-funded) are responsible for the full course fee if they fail to attend, withdraw after enrolment, or do not complete all course requirements.
  • For CSQ-funded students:
    • Where a participant does not commence or complete training, OTJT is unable to claim funding from CSQ.
    • In such cases, the participant (or their employer, if applicable) will be liable for payment of the full course fee, less any co-contribution amount already paid.
  • Any unpaid balance will be invoiced in line with OTJT’s payment terms and must be settled before any future enrolments are accepted.


4. CSQ-Funded Training – Special Terms

These terms apply to students enrolling under Construction Skills Queensland (CSQ) funding. They apply in addition to the general Terms & Conditions and Cancellation & Refund Policy.

4.1 Pricing & Packages

  • Plant Operating Short Courses:
    • 1 course = $300
    • 2 courses = $300 total ($150 each)
    • 3+ courses = $300 (first two) + $50 for each additional course
  • High Risk Work Licence (HRWL) & Safety Courses:
    • Students must pay a mandatory co-contribution fee set by CSQ.
    • Fee values vary by course and are non-negotiable.
    • Some courses may be fully funded (no co-contribution required).
  • Administration Fee: $50 per booking (non-refundable).

4.2 Payment & Deposits

  • Full payment is required upfront for all CSQ-funded bookings. This includes co-contribution fees, $100 deposit, and $50 admin fee.
  • The $100 deposit is credited towards fees but is forfeited if the student cancels, withdraws, or fails to attend.
  • CSQ eligibility cannot be confirmed until payment and all required enrolment documentation are received.
  • CSQ funding is capped: a participant must not exceed 8 funded units in a funding period. Any units above this maximum will be payable in full by the participant or their employer.

4.3 Cancellations & Refunds (CSQ-Funded Bookings)

  • 5 days’ notice: Refund of fees paid, minus $100 deposit and $50 CSQ admin fee.
  • Less than 5 days’ notice: Full fees payable, no refund.
  • After course commencement: No refunds.

4.4 Package Conditions (Plant Operating Only)

  • Package pricing applies only when courses are booked and paid together.
  • If fewer courses are completed than booked, the package price remains payable in full.
  • Additional bookings later incur a new $50 CSQ admin fee and $100 deposit.

4.5 HRWL Funding Conditions

  • Funding applies only to students who intend to obtain the relevant HRWL licence after training.
  • Competence in a unit results in a Statement of Attainment (SOA), not a licence.
  • To obtain the licence, students must complete the National Assessment Instruments (NAIs) delivered by accredited assessors at OTJT, on behalf of Workplace Health & Safety Queensland.
  • Students must apply to WHSQ for their licence within 60 days of completing their NAI, or they will be required to be reassessed at their own expense.
  • Reassessment Policy: One reassessment is provided at no charge if competence is not achieved in an NAI. Additional reassessments are charged at $250 each, with further retraining fees where required. For group or private bookings, reassessment fees may be quoted separately.
  • Students must provide required documentation prior to commencement (e.g. employer letter, statutory declaration, or ID). Failure to provide sufficient evidence may void CSQ funding eligibility.


5. Hierarchy of Terms

  • These Master Terms & Conditions apply to all students.
  • For CSQ-funded students, the CSQ-specific terms apply in addition to the general terms.
  • Where there is overlap, the CSQ-specific conditions take priority.
